Prospective/New Students

I am a newly accepted student. When will my secure VCOM email account be available?

Once you have cleared in the Admissions Office, your name is presented to our IT Department which will create your VCOM email. Once this is completed you will receive an email from the Office of the Registrar with instructions to set up your VCOM email. 

Do I need to send a final updated transcript?

Only if you are currently enrolled.

  • Official transcripts sent to AACOMAS are provided to VCOM when an applicant applies. These transcripts are accepted by VCOM if all coursework the student has taken at that institution is completed as of June 1 of the application year.
  • Any school the applicant is attending or will attend after June of the application year will require an official transcript be sent directly from that institution to the Registrar’s Office.

How do I get previous student loans deferred while I am enrolled at VCOM?

Provide the Office of Registrar with any deferment forms to be completed. These forms will be submitted on your behalf after matriculation. Some loan companies require forms to be completed every semester as means of enrollment verification. It is the student’s responsibility to communicate with his or her loan company and request services from the Office of the Registrar.

How do I request a Certificate of Enrollment?

Often, a student will require the school to send a certification of enrollment for loan companies, insurance companies, and scholarship applications. You can request this letter by completing the Document Request Form and submitting it to the Office of the Registrar. The letter will include student name, matriculation date and anticipated date of completion/graduation date.

Does VCOM have a ranking system for students?

No. In order to promote a professional environment of mutual respect for classmates, VCOM has chosen not to rank students. 

Current Students

How do I get my Certification of Identification and Authorization form for the USMLE?

The Registrar’s Office will certify eligible VCOM student enrollment for the USMLE/NBME.

How will I know when I am promoted to the next academic (OMS) year/classification?

Notification of promotion is emailed to the student once the Student Checklist is completed. Careful review of the Student Checklist as well as the student transcript will keep the student aware of the promotion process.

If I am entering the Military Match and not using ERAS, how are my documents submitted?

Please contact the Office of the Registrar to inform us that you are entering the Military Match. We will work with you to submit documents based on your military branch.

When will my MSPE be uploaded to ERAS?

MSPEs are not available for viewing until October 1. We assure you, they will be uploaded as long as you have been promoted to fourth year (OMS IV) status.

When will my transcript be uploaded to ERAS?

Once you have been promoted to fourth year (OMS IV) status, you will receive an email from the Office of the Registrar to review and confirm your transcript. You must respond and confirm that it is correct before it is uploaded to ERAS. Please allow 7-10 business days for uploading after confirmation is received.

Does VCOM have a ranking system for students?

No. In order to promote a professional environment of mutual respect for classmates, VCOM has chosen not to rank students.

During the fourth year, a Medical Student Performance Evaluation (MSPE) will be completed as a summary of your first three years as a student. As part of this summary a “scatter gram” will be provided to residencies to show individual placement with other students during the first two years.

How do I defer my student loans?

The Office of the Registrar will process the necessary documents that are provided by the student. Learn more from our Registrar Services page.

Who should I contact regarding Letters of Recommendation (LoRs) for third year rotations?

Letters of Recommendation for third year rotations (for VSAS) should be submitted to the Director of Fourth Year Rotations on your campus.  You should also contact the Director of Fourth Year Rotations on your campus if you need a transcript uploaded to VSAS.

Who should I contact for questions about rotations?

Refer questions regarding third year rotations to the Clinical Assessment Coordinator in Clinical Education on your campus. Refer questions regarding fourth year rotations to the Director of Fourth Year Clinical Rotations on your campus.

I have a form that must be notarized. Can you do this on campus?

The Assistant Registrar will notarize only VCOM-related documents. Unless other arrangements are made with the Assistant Registrar, this service is provided Monday through Friday from 1 until 4pm.

How do I get a copy of my transcript?

How do I get a certified copy of my diploma?

All graduates are given two (2) copies of the diploma at the time of graduation and are encouraged to make several copies. The Office of the Registrar will certify the diploma copy that is provided by the student at no charge; however, a $25 charge is required for the Registrar to provide a copy and certification of the diploma for graduates prior to 2016.

Who do I contact if I am entering the match and need a token for ERAS?
